Lead Inbox Overview

The Lead Inbox at app.leadhubai.io is your real-time communication hub. Every lead from SMS, Facebook, Instagram, and WhatsApp arrives here — and the AI responds automatically in under 60 seconds.

What You'll See

Three tabs at the bottom

The app has three top-level views you switch between using the tab bar at the bottom of the screen:

Header Bar

  • LeadHub AI logo (top left): Tap to open the corresponding section on leadhubai.io in a new tab. Handy for quick reference to the marketing site, feature pages, or sharing links with a teammate.
  • Auto-Reply toggle (top right): Shows AI ON (green) or AI OFF (gray). Toggle to enable/disable automatic AI responses.
  • Refresh button: Manually reload your leads
  • Settings gear: Opens the settings panel with tabs for Stats, Team, Pricing, About, and Help
  • User avatar: Shows your initials. Tap to log out.

Leads List (Left Side)

  • All your leads in one list, sorted by most recent activity
  • Each lead shows: name, phone number, source icon (SMS/FB/IG/WA/Voice), service requested, status badge, and temperature badge
  • Search bar at top to find leads by name, phone, email, service, or message content
  • Filter buttons: OPEN, ASSIGNED, ACTIVE, ALL, CLOSED
  • Quick actions — swipe left on any lead, or tap the ⋮ button on the right of the row, to reveal context-aware actions (assign, schedule, complete, snooze, lost, reopen). See Messaging for the full action menu.

Chat View (Right Side / Mobile Full Screen)

  • Tap any lead to see the full conversation
  • Messages grouped by date with timestamps
  • Your messages appear on the right (amber), incoming on the left (dark)
  • Message input at bottom with Send button
  • AI Suggestion button to generate a response

Lead Detail Panel

  • Tap the info icon (i) in the chat header to see full lead details
  • Shows: service, source, date added, email, pipeline progress, follow-up schedule, and message stats

Auto-Refresh

The lead list refreshes automatically — you don't need to tap Refresh to see new activity:

  • Every 60 seconds in the background
  • Immediately when you return to the app (tab focus / PWA reopen)
  • Manual refresh button is still available if you want an instant pull

Returning Customers

When a customer reaches out after a previous lead was closed:

  • The old lead is preserved in the database (kept for history and stats)
  • A new lead is created for the fresh conversation
  • The new lead inherits the customer's name so they aren't shown as just a phone number
  • The AI reads the past conversation history and can reference prior service (e.g., "Great to hear from you again! Is this about the AC tune-up we did in February?")

Language Support

The Lead Inbox UI is available in English and Spanish — auto-detects your browser language, or you can change it manually from the bottom of the leads list.

Bilingual Lead Response (Pro plan)

If you enable the Bilingual Lead Response feature, the inbox translates conversations both ways automatically:

  • Your lead writes in their language, you read in yours — every inbound message shows a 🌐 "Translated from {language}" badge; tap to see the original
  • You type your reply in your preferred language, the lead receives it in theirs
  • Each team member can pick their own reading language (Settings → About → 🌐 My language)
