AI Assistant

The LeadHub AI assistant automatically responds to every incoming lead in under 60 seconds. It uses your business information, service pricing, and industry context to have natural conversations that qualify leads and book appointments.

How It Works

  1. A lead contacts you via SMS, Facebook, Instagram, or WhatsApp
  2. The AI receives the message and checks your business profile, services, and pricing
  3. Within 60 seconds, the AI sends a personalized response
  4. The AI continues the conversation — asking about their needs, providing quotes, and scheduling
  5. When the lead is qualified, the AI marks them HOT or WARM
  6. You get a push notification for qualified leads

Auto-Reply Toggle

The AI ON / AI OFF button is in the top-right of the header bar:

  • AI ON (green): AI automatically responds to new leads and continues conversations
  • AI OFF (gray): AI stops responding. You handle all messages manually.

Toggle this anytime. When you turn AI off, existing follow-ups will still be sent — only new AI responses are paused.

AI Suggestions

Even with auto-reply on, you can get AI-generated suggestions for manual replies:

  1. Open a conversation
  2. Tap the AI icon (sparkle button) next to the message input
  3. The AI generates a suggested response based on the full conversation history
  4. You can:
    • Send it directly
    • Edit it before sending
    • Dismiss it and write your own

The suggestion appears in a green bar above the message input labeled "AI SUGGESTION".

AI Agent Name

You can customize the name the AI uses when introducing itself:

  1. Go to Settings (gear icon) > Service Pricing tab
  2. Scroll down to AI Agent Settings
  3. Enter a name in the Agent Name field (e.g., "Alex", "Sarah")
  4. Click Save AI Settings

If left blank, the AI won't use a specific name.

Response Delay

Make the AI feel more human by adding a delay before it responds:

  1. Go to Settings > Service Pricing tab > AI Agent Settings
  2. Set the Response Delay (0-120 seconds)
  3. A delay of 15-30 seconds makes responses feel natural

What the AI Knows

The AI uses the following information to respond:

  • Your business name and industry
  • Your service pricing (services you've added with prices)
  • The lead's name, phone, and conversation history
  • Your AI persona name and response delay settings

:::tip Add Your Services The most important thing you can do is add your service pricing. Without it, the AI can't give accurate quotes and may give generic responses. :::

Follow-Up Sequences

The AI automatically follows up with leads that don't respond:

  • First follow-up: Sent after 48 hours (configurable)
  • Second follow-up: Sent after 5 days (configurable)
  • Auto-close: If no response after 14 days, the lead is closed

You can see pending follow-ups in the lead detail panel and cancel them if needed.

When AI Hands Off to You

The AI handles initial conversations but hands off to you when:

  • A team member manually sends a message (AI pauses for that lead)
  • The lead asks to speak to a person
  • The conversation becomes complex or outside the AI's scope
  • You turn off auto-reply

When you manually respond to a lead, the AI stops auto-replying for that specific conversation. The lead is marked as ASSIGNED to you.
