Paid Onboarding Walkthrough
This guide is for customers who signed up through a LeadHub AI sales representative on a paid plan (Starter $250/mo, Growth $399/mo, or Pro $599/mo). It takes about 10 minutes from when you receive your onboarding email to being fully live.
:::tip Before you start Have these handy:
- Access to the email address your sales rep used to register you
- Your full legal name (used on the service agreement signature)
- If you want Facebook & Instagram leads: login access to your Facebook account
- A quiet 10 minutes — you'll sign a service agreement, so don't rush :::
Step 1 — Receive Your Onboarding Email
Once your sales rep registers you, you'll receive an email from LeadHub AI with:
- Subject: "Your LeadHub AI account is ready — next steps inside"
- A welcome message with your business name and plan
- A big green Complete Setup Now → button
Your onboarding link expires in 72 hours. If you miss the window, just reply to the email or contact support@leadhubai.io for a fresh link.
Click the button to open the setup portal.

Step 2 — Review Your Service Agreement
The onboarding portal opens at Step 1 of 4. You'll see your service agreement displayed with:
Your business details
- Business name, owner name, address, phone
- If anything is wrong, click Edit to correct it before signing.
Your plan
- Plan name (Starter / Growth / Pro)
- Monthly price
- Full feature list
- Contract term (month-to-month, cancel anytime with 30 days notice)
Terms of Service
- 7 clauses covering service description, payment terms, data privacy, acceptable use, cancellation policy, limitations of liability, and governing law
- Plain English — no legalese surprises
What to do:
- Read each section carefully (takes ~3 minutes)
- When ready, scroll to the bottom
- Type your full legal name in the signature box exactly as you want it to appear
- Click ✓ Sign Agreement & Continue
Your signature is recorded with:
- Your typed full name
- Timestamp (date and time to the second)
- Your IP address
- Unique agreement version
This is an ESIGN/UETA-compliant electronic signature and has the same legal force as a hand-signed paper contract.
:::tip Save a copy After signing, you can download the full signed agreement as a PDF from Customer Dashboard → Contract. You'll also receive an email copy. :::

Step 3 — Check Your Welcome Email
As soon as you sign, you'll get a Welcome email from LeadHub AI containing:
- Confirmation that your agreement is signed
- Login instructions
- Your temporary password:
LeadHub2026!(you'll change this in a minute) - Links to both apps:
- Lead Inbox: app.leadhubai.io
- Customer Dashboard: dashboard.leadhubai.io (available on every plan)
- A link to download your signed agreement
Keep this email — you'll need it for your first login.

Step 4 — Connect Facebook & Instagram (Optional but Recommended)
Back in the setup portal, you're now at Step 2 of 4.
This is where you connect your Facebook Page so LeadHub AI can automatically reply to Facebook Messenger and Instagram Direct messages. You'll see a card explaining the permissions being requested:

Connect Now (Recommended)
- Click Connect with Facebook
- A small Facebook window pops up (if it doesn't, your browser's popup blocker is on — see below)
- Log in to Facebook if not already logged in
- Facebook shows: "Which Pages do you want to use?" → pick your business Page
- Review permissions → click Continue
- A green ✓ Channel Connected Successfully page appears with your Page name
- Click Close Window
- Back in the portal, you'll see a green checkmark confirming "Facebook Page Connected"
- Click Continue → Set Your Password
Skip for Now
If you don't have a Facebook Page or want to set it up later:
- Click Skip for now
- Confirm in the popup
- Move to Step 3
:::warning What happens if you skip Your AI will still handle SMS leads, but Facebook Messenger and Instagram DMs won't work until you connect Facebook. You can connect anytime from the Channels menu in your dashboard. :::
If the popup is blocked
- Look for a red or grey icon in your browser address bar — it's the popup-blocker warning
- Click it and choose Always allow popups for this site
- Click Try Again in the wizard

Step 5 — Set Your Permanent Password
You're now at Step 3 of 4.
Since your temporary password LeadHub2026! is well-known, you must replace it with your own password before you can log in normally.
Password requirements:
- 10 or more characters
- Must include: uppercase letter, lowercase letter, number, special character (!, @, #, $, etc.)
- Can't be the temp password
What you'll see:
- Password field with a live strength meter
- Five checkboxes that turn green as your password meets each rule
- Show password eye icon
- Confirm Password field
What to do:
- Type your new password
- Re-type it in the Confirm field
- Click Set Password & Activate Account
- You'll see a success screen
:::tip Password best practices
- Use a unique password — don't reuse one from another site
- Save it in a password manager (1Password, Bitwarden, LastPass, Apple Passwords)
- If you forget it, click Forgot Password on the login page for an email reset link :::

Step 6 — First Login
Your success screen has a Continue to App → button that takes you to the Lead Inbox at app.leadhubai.io.
- Enter your email
- Enter the new password you just set
- Click Sign In
Two-Factor Authentication Setup
LeadHub AI requires two-factor authentication (2FA) on your first login for account security.
- You'll see a QR code on screen
- Install any authenticator app on your phone (free):
- Google Authenticator (iPhone + Android)
- Microsoft Authenticator
- Authy
- Open the app → tap + Add account → scan the QR code with your phone's camera
- The app now shows a 6-digit code that refreshes every 30 seconds
- Type the current 6-digit code into the setup screen
- Click Verify
You're in! You'll land in the Inbox where leads will appear as they come in.
:::tip Keep your authenticator safe If you lose access to your authenticator app (lost phone, etc.), contact support@leadhubai.io to reset your 2FA. We'll verify your identity before resetting. :::

After Login: Your First-Hour Setup
Now that you're in, here's the checklist we recommend:
1. 📱 Install the Lead Inbox on your phone (3 min)
Add it to your home screen so you get push notifications. Install guide.
2. 💰 Add your service prices (10 min)
So the AI can give quotes when leads ask "How much?" Go to Settings → Service Pricing in the Inbox app. Pricing guide.
3. 🎯 Confirm your AI settings (5 min)
Check your:
- AI Agent Name (what the AI calls itself)
- Greeting (first thing the AI says)
- Follow-up schedule (when to auto-follow-up if a lead goes quiet)
Find these in Settings → AI Configuration in the Inbox.
4. 📡 Verify your Channels (2 min)
Go to Customer Dashboard → Channels to confirm:
- SMS number assigned ✓
- Facebook Messenger connected ✓
- Instagram Direct linked ✓
5. 👥 Invite your team (optional)
Add team members. Each plan includes a set number of seats:
- Starter: 2 seats
- Growth: 5 seats
- Pro: 10 seats
Go to Settings → Team in the Inbox. Team guide.
6. 🏢 Fill in your Company profile
Add your logo, website, and brand colors. These are used by the AI when creating ads and social posts — and they also style your branded directory page if you publish one. Go to Customer Dashboard → Company.
7. 🌐 Publish your Premium directory listing (optional but recommended)
Every paid plan includes a fully-branded listing page at leadhubai.io/find-a-pro. Go to Customer Dashboard → Setup → Web Site, fill in your category, tagline, About, and services list, and click Publish. Troubleshooting
"I never received the onboarding email"
- Check spam/junk folder
- Confirm with your sales rep that they used the correct email
- Ask them to click Resend Email in the internal dashboard, or email support@leadhubai.io
"My link says 'Expired'"
Links expire after 72 hours. Reply to your onboarding email or contact support@leadhubai.io — we'll send a fresh link within 5 minutes.
"Facebook connection won't work"
See Channels page troubleshooting.
"I forgot my password"
Click Forgot Password on the login screen. A reset email will arrive in under 1 minute.
"I lost my authenticator app"
Email support@leadhubai.io with:
- Your email
- Your business name
- A copy of a recent invoice or bill (for identity verification)
We'll reset your 2FA within 1 business hour.
